Make ownership and status visible

We map the stages of a request, the person responsible at each stage, and the conditions for moving it forward. Missing attachments, returned submissions, and reassignment need to work just as clearly as the happy path.

An approval system can record decisions, timestamps, and supporting documents. Permissions determine who may view, change, approve, or export information. Notifications help people act on the records that need their attention.

Use operational records for reporting

Dashboards should answer specific questions: what is overdue, where work is waiting, and which records are incomplete. We agree the definitions behind those numbers so the report matches the process your staff uses.

Automation can also connect existing tools. A reviewed record may feed a report or another system without retyping. For financial operations, that might mean a reconciliation review queue; for procurement, it might mean supplier records and approval status. Exceptions still need an owner.
